Effective: 11 June 2026 · Cancellation rules for private, founder-planned itineraries

Private guided tours are scheduled to a single guide for a single day. When you cancel late we usually cannot resell that day to another traveller, and we have already paid out for tickets, transfers and a guide retainer. The rules below try to be fair to both sides: generous when there is enough notice to recover the slot, firm when the costs are already locked in.

The standard sliding scale

Unless your written quote attaches a stricter supplier-specific rule (see “Tours with their own cancellation rule” below), the standard tiers below apply. Times are measured from the agreed pickup time at your hotel or your stated meeting point, in Türkiye local time (UTC+3).

Tours with their own cancellation rule

A few experiences depend on suppliers whose rules we cannot override. When that is the case it is written into your quote in bold and we ask you to confirm in writing. The recurring examples are:

  • Cappadocia hot-air balloon flights — balloon operators charge in full as soon as your flight is manifest-locked, normally seventy-two hours out. After that point only the local civil aviation authority can refund you, and only when it cancels the flight for weather.
  • Dinner cruises with allocated seating — the cruise operator confirms a specific table number and charges us forty-eight hours out. From that point we can rebook your date but cannot recover the seat price.
  • Domestic flights bundled into multi-day Cappadocia or Ephesus itineraries — Turkish carriers refund according to the fare class you accepted. Promo fares are usually non-refundable; flex fares carry a change fee.
  • Named museum tickets for Topkapi Harem, Hagia Sophia upper gallery and Galata Tower — once issued in your passport name they cannot be transferred or refunded by the venue.

Cancellations we initiate

On rare occasions we have to cancel a confirmed tour ourselves: the assigned guide is unwell and no equivalent replacement is free, weather closes the Bosphorus to passenger traffic, a government office orders an unplanned museum closure, or a public-safety incident makes the planned route unsafe. In every one of these cases you receive a full refund of every euro paid to us, plus the option to rebook free of charge within twelve months. The narrow exception is a non-refundable third party cost (typically a balloon-flight or domestic-flight deposit) that we paid on your behalf and the third party will not reimburse — we evidence those amounts in writing if you ask.

How to cancel or change a date

The fastest channel is WhatsApp at +90 534 740 2134. The timestamp on the WhatsApp message you send to us is the time we use for the sliding scale — not when we read it. If you prefer email, write to info@tourthese.com with your name, the tour date and the reason. We acknowledge within a few hours during operating times and confirm the applicable refund or credit in writing within one business day.

How refunds are paid

Refunds are returned through the same channel you used to pay: Stripe deposit refunds land on the original card within five to ten business days depending on your issuing bank, direct bank transfers are reversed within three business days, and cash deposits paid at our office can be collected in cash or refunded by transfer if you prefer. We do not deduct administration fees from refunds we owe you under the sliding scale — the table above is the full picture.

A note about travel insurance

We strongly recommend a travel insurance policy that covers private tour cancellation for illness, family emergency, missed connections and weather disruption. Insurers usually require a written cancellation acknowledgement from the tour operator showing the date, the amount lost and the reason — we issue that document on request at no charge.

This policy was drafted by the operator and is pending a final review by a Turkish travel-law solicitor before it is treated as the binding cancellation agreement. It is published in good faith and reflects the rules we apply day to day.
